Medical Office Assistant

Responsibilities: (including but not limited to)       

Open and close office

Answer phones for Alder Health Services and direct calls appropriately.

Schedule appointments for individuals interested in accessing primary care and mental health services.

Generate intake packets for individuals interested in accessing primary care and mental health services.

Provide individuals with safe and welcoming environment at Alder Health Services.

Coordinate appointment reminders.

Register new patients and verify insurance with registration.

Maintain provider staff bins (call patients with lab results in timely manner, respond to patient portal messages, etc.).

Maintain tickler lists for primary care, mental health and lab appointments.

Manage medication refills via fax, refill line and email.

Receive faxes and properly distribute.

Learn and properly utilize practice EHR.

Process medical records request in timely manner.

Assist with answering phone calls in a polite and professional manner, mitigate any problems that may arise.

Properly handle messages for all agency staff.

Responsible for having knowledge of services we provide and through which provider/ department in order to properly direct patients and clients.

Maintain a clean and organized workspace.

Participates in community events.

Attend monthly front office meetings.

Attend bi-monthly staff meetings.

Attend agency wide events.

Complete annual trainings as assigned.

Offer recommendations for the improvement and enhancement of health center operations.

Serve as an advocate for the needs of individuals impacted by HIV/AIDS and individuals who have traditionally been marginalized by the healthcare system.

Adhere to all personnel policies as approved by the Board of Directors.

Other duties as assigned by the Primary Care Supervisor.

 

Qualifications:

High School Diploma / G.E.D. Required, Medical Billing Experience Preferred.

Computer experience essential.

Electronic Health Record experience preferred.

Previous experience working in a medical practice preferred.

High level of comfort working with diverse populations required.

Language Ability:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedures manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively before groups of customers or employees of organization.

 

Math Ability:

Ability to add, subtract, multiply and divide in all units of measure using whole numbers, common fractions and decimals.  Ability to compute rate, ratio, percent and to draw/ interpret bar graphs.

 

Reasoning Ability:

Ability to define problems, collect data, establish facts and draw valid conclusions.  Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

 

Computer Skills:

To perform this job successfully, an individual should have knowledge of word processing software, spreadsheet software, internet software and order processing systems.

 

Education/ Experience:

High school diploma or general education degree (GED): or two to four years related experience and/ or training or equivalent combination of education and experience.
